This Refund Policy governs all payments, donations, and registration contributions made through the official website of SCOBSA, the SSCBS Alumni Association, which is a duly registered society under applicable laws of India. By accessing the website and making any payment, the contributor acknowledges that they have read, understood, and agreed to this Refund Policy in its entirety. This policy applies to all individuals, alumni members, sponsors, corporate representatives, and any other persons making financial contributions through the website in connection with the SCOBSA Conclave or any allied initiative.
All payments made through the website are treated as voluntary contributions toward the objectives of the Association or as participation fees for attending the conclave. Such payments are not commercial purchases of goods or services. The Association operates as a not for profit alumni body and utilizes contributions for organizing events, strengthening alumni engagement, supporting institutional initiatives, covering administrative expenses, and advancing the broader objectives of the society as determined by its Governing Body. By completing a payment transaction, the contributor expressly confirms that the contribution is made voluntarily, without coercion, and with full knowledge of the amount and purpose of payment.
As a general rule, all donations and contributions made to SCOBSA are non refundable. This non refundability is essential to ensure financial planning certainty for the event and related commitments, including venue bookings, vendor contracts, logistics arrangements, and speaker engagements, all of which are undertaken based on anticipated contributions. Once a transaction is successfully processed and acknowledged, the amount shall be deemed final and irrevocable except in narrowly defined circumstances set out herein.
Refunds may be considered only in exceptional situations involving demonstrable technical errors. Such circumstances include duplicate transactions caused by a verifiable payment gateway malfunction, instances where the amount is debited but the transaction is not successfully completed, or cases where an incorrect amount is charged due to a confirmed system error attributable to the payment processing mechanism. In all such cases, the burden of proof lies entirely on the contributor. The contributor must submit a written refund request within seven days of the transaction date, accompanied by transaction reference details, proof of debit, and any supporting documentation required by the Association. Requests submitted beyond this period may be rejected at the sole discretion of SCOBSA.
All refund determinations shall be made exclusively by the Governing Body or an authorized office bearer of SCOBSA after due verification. The decision rendered shall be final and binding and shall not be subject to further correspondence or dispute except as required by applicable law. If a refund is approved, it shall be processed only to the original payment method and within a reasonable processing period, which may extend up to thirty working days depending on banking channels and payment gateway procedures. No interest, compensation, or additional damages shall be payable in connection with any approved refund.
In the event that the conclave is postponed, rescheduled, modified in format, or conducted in a hybrid or digital manner due to administrative, logistical, public health, regulatory, or force majeure reasons, the contribution shall remain valid for the revised event format or date. Contributors shall not be entitled to refunds solely on the ground of rescheduling or format modification. If the event is cancelled in its entirety without rescheduling, the Governing Body may, at its sole discretion, determine whether any portion of registration specific fees may be refunded or whether the amounts shall be retained as voluntary contributions toward the Association’s objectives. Such determination shall be conclusive.
SCOBSA shall not be liable for any losses incurred by contributors arising from travel bookings, accommodation arrangements, or other third party commitments made in anticipation of the conclave. Contributors are advised to make such arrangements at their own risk and discretion. This Refund Policy shall be governed by the laws of India and any disputes arising hereunder shall be subject to the exclusive jurisdiction of courts located in Delhi NCR.
